A-Z OF NOTARY SERVICES

AFFIDAVITS

An affidavit from a foreign country will need to be sworn or affirmed in front of an Australian Notary Public.

APOSTILLE

Have you been asked to get an Apostille Stamp on a document? We can easily organise this for you. If it needs to be notarised first we can do that too. Paula and our team of Notaries are recognised with DFAT making them internationally recognised as independent authenticators of your documents.

AUTHENTICATION

For authentication requests we can notarise and organise the Authentication from DFAT as well as the legalisation at your Foreign Embassy.

ASIC DOCUMENTS

Frequent requests for notarisation are the Certificate of Registration and ASIC Company Extracts. We have specific wording to notarise these. Click here to find out more.

BIRTH CERTIFICATES

The original can be used for an Apostille or Authentication but if you want to keep your original version we can notarise a copy for you.

CERTIFICATE OF GOOD STANDING

This is a set form of document which are familiar with. There are specific company documents which need to be attached. Contact us to find out more.

CITIZENSHIP CERTIFICATES

These documents are often laminated or framed and therefore need to be copied and notarised so that they can be submitted to DFAT and other foreign embassies.

COMPANY DOCUMENTS

These include Certificate of Registration (or other ASIC documents), Constitution and Certificate of Good Standing.

DEATH CERTIFICATES

The original can be used for an Apostille or Authentication but if you want to preserve your original versions we can notarise a copy for you. We also notarise Embalming Certificates and other funeral documents.

DFAT – DEPARTMENT OF FOREIGN AFFAIRS AND TRADE

This is the Australian government and it will endorse official signatures on documents (including the Notary signature). DFAT will issue an Apostille for some countries (participating in the Hague Convention) or authenticate documents when applicable to other countries. We can organise fast turnaround lodgment with DFAT.

DIVORCE ORDERS

Even though these are orders made by Australian courts these documents are not automatically accepted overseas or at DFAT so you will need to get these notarised first. Click here to find out what you need to do to enable us to do this for you.

MARRIED OVERSEAS

If you are getting married in an overseas destination (lucky you) we can notarise your identity documents. This may include your birth certificate, baptism or other religious ceremony documents and Certificates of no impediment to marriage.

COLLEGE CERTIFICATES/AWARDS

We can notarise these but the Australian government requires us to obtain verification first.

FOREIGN PENSIONS

Have you been asked to prove that you are alive? We can assist you with this uncanny process so that you can claim your foreign pension or benefit from overseas. We can notarise your form or provide a Certificate of Life.

MEDICAL REPORTS

POWERS OF ATTORNEY

Do you need to appoint a person overseas to act on your behalf? This is increasingly important with travel restrictions. You may need to sign in front of a Notary an official Power of Attorney or an Authorisation Letter.

PROBATE

Australian probate documents can be notarised for use overseas to transfer family assets.

REPATRIATION OF ASHES – BODIES

Funeral directors often consult us to notarise embalming and crematorium certificates and documents issued by the Australian Health Department. We have a custom process to accommodate the need for translation once it arrives overseas.

TRAVEL PERMISSION – CHILDREN

Are your children travelling overseas without both parents? Children leaving Australia accompanied by only one parent or another guardian will need a notarised letter of consent. Click here to find out what we recommend is needed for such a letter of consent

USA DOCUMENTS

USA documents require notaries and when people cannot be in the USA they are permitted to use Australian notaries to officiate the documents. A frequent request is for property transaction documents. Paula is registered as a Notary with the Consulate General of the United States of America

NOTARISING DOCUMENTS, A BRIEF EXPLANATION

In simple form, most people require a notary to witness signatures or attest to true copies of original documents. In some cases notaries are needed to assist with verifying other information.

WITNESSING SIGNATURES

1. Signing pre-prepared forms (for example, property documents, bank account forms)
2. Executing documents (for example, Power of Attorney, Affidavit)

We require identification to satisfy ourselves as to identity. Regulation is requiring more stringent identification procedures. A good standard to follow is the 100 Points Test (you can google this). You will need at least one piece of identification with a photo and signature.

A passport is preferred at your attendance, however a driver licence or overseas identity card can be used along with other supporting identification (such as a Medicare card, credit card).

If you have any questions about your identity documents please call us.

TRUE COPIES

This involves certification that the document is a true copy of the original. For multiple documents, a covering Notarial Certificate may be suitable to “bundle” documents.

You will need to bring in the following
1. the original documents to be inspected; and
2. A copy of each original document (we can make copies but this may add to time and cost)

A passport is preferred at your attendance, however a driver licence or overseas identity card can be used along with other supporting identification (such as a Medicare card, credit card).

If you do not have the originals or they are only issued electronically then we have other procedures to verify them as originals – please call to discuss your options.
